The test is whether an existing product already does it. If one does, buying it is cheaper than building it and we'll point you there.

A custom build makes sense if:

  • You have a repetitive process consuming real hours every week
  • Your requirements are specific enough that off-the-shelf tools don't fit
  • The problem is expensive — missed calls, slow quoting, manual data entry across systems
  • You have volume to justify it. Automating something that happens twice a month rarely pays back

Wait if:

  • You're under $1M in revenue and the process runs a few hours a week. The payback is too slow.
  • You can't describe the process precisely. If you can't write down the steps, it can't be automated yet.
  • The underlying process is broken. Automating a bad process just produces bad outcomes faster.

Support is $650/month — monitoring, prompt and logic refinement, and adjustments as your business changes. Optional, but AI tools drift without it.

Why does after-hours call handling come up so often?

Because for most service businesses it's the clearest, most measurable win available.

A plumbing or restoration company gets calls at 11pm. Those calls go to voicemail, and the caller phones the next company on the list. The lost job is worth hundreds or thousands; the voicemail costs nothing to fix.

A voice agent that answers, captures the details, distinguishes an emergency from a routine request, and texts your on-call tech converts calls you're currently donating to competitors. It also feeds your Local Service Ads ranking, since Google factors responsiveness into LSA position.

We'll model the payback before building anything. If your after-hours volume doesn't justify it, we'll say so.

How do we build it?

  1. Process mapping. We document the actual steps, including the exceptions. This is where most of the value is created, and where most AI projects fail when it's skipped.
  2. Feasibility and payback. Hours saved or revenue recovered against build cost. If it doesn't pay back inside 12 months, we don't recommend it.
  3. Scope to the narrowest useful version. The first build should do one thing reliably rather than five things unpredictably.
  4. Build and test. Against real historical cases from your business, not invented examples.
  5. Human-in-the-loop by default. Most builds draft or route rather than act unilaterally. You approve before anything reaches a customer, until you're confident enough to loosen it.
  6. Deploy and monitor. Closely for the first 30 days, because real inputs are always messier than test cases.
  7. Refine. Ongoing, under the support retainer.

What could go wrong?

Worth stating plainly, because this is a field with more promises than delivery.

AI tools produce wrong answers confidently. That's why customer-facing builds are constrained to your actual documented information, and why we default to human approval on anything consequential.

Automating a broken process makes it worse. If your intake is disorganised, automation scales the disorganisation. We'll fix the process first or decline the build.

Tools drift. Models change, your services change, edge cases accumulate. Something built and abandoned degrades. That's what the support retainer is actually for.

Some builds don't pay back. We model it beforehand and we'd rather lose the project than build something you'll regret in six months.

Two to six weeks depending on scope. Process mapping is usually the longest phase, and rushing it is the most reliable way to build the wrong thing.

Will AI replace someone on my team?

Usually it removes the worst part of someone's job rather than the job. The builds that work best take over repetitive, after-hours or overflow work that nobody wanted to do anyway.

What if it gives a customer wrong information?

Customer-facing builds are constrained to your actual documented services, pricing and policies, and most are set to draft or route rather than respond autonomously. We tighten those constraints before we loosen them.

Do I own what you build?

Yes. You own the build, the prompts, the logic and the data. Third-party API costs — model providers, telephony — are billed to your accounts directly.

Can you work with tools I already have?

Usually. Most builds connect to an existing CRM, phone system or scheduling tool rather than replacing them.
