The Best Call Tracking Software

Disclosure: some links on this page pay us a commission if you buy through them, at no extra cost to you. How we make money.

Scope of this recommendation: we run CallRail in live client accounts. We have not run its competitors at production depth, so this page does not rank five platforms against each other from their marketing pages — most articles with that title are doing exactly that. What follows is the requirements framework we actually use, and an honest account of where our first-hand knowledge stops.

We run CallRail, and it's what we'd recommend for a service business with real advertising spend. It isn't the cheapest and it isn't right for everyone — below about 20 calls a month you shouldn't be buying this category at all. What matters more than the brand is getting five requirements right, because a cheaper tool configured properly beats an expensive one configured badly.

Full assessment of our pick: CallRail review.

The five requirements

Judge any platform on these. Everything else is a preference.

Requirement Why it's non-negotiable
Dynamic number insertion Swaps the displayed number by traffic source, so calls attribute to a campaign or keyword rather than just "Google"
Conversion sync back to ad platforms The one most people miss. Without it, automated bidding optimises toward clicks instead of calls
Spam filtering you can trust Unfiltered junk counted as conversions actively teaches the platform to buy more junk
CRM integration A tracked call that never reaches your CRM is a data point, not a lead
Recording with a configurable announcement The recordings are worth more than the attribution, and compliance varies by state

The second row is the one that separates a working setup from an expensive log. Sending call conversions back into Google Ads is what lets smart bidding optimise toward phone calls. A great many service business accounts are quietly bidding on form fills and clicks while 80% of their real conversions arrive by phone.

What we run, and what we don't know

What we deploy CallRail, across client accounts
Why Reliability, integration depth, and spam filtering good enough to trust
What we haven't run in production WhatConverts, Invoca, Nimbata and the rest of the category
What that means for you We can tell you why CallRail works. We can't honestly tell you it beats WhatConverts, because we haven't run one against the other
That last row is deliberate. A page ranking six platforms it hasn't used is the standard shape of this query and it's worthless. If you want a genuine head-to-head, find someone who has run both — and check whether they say so.

When you don't need paid call tracking

The honest path that most articles in this category skip.

Under about 20 calls a month. Not enough signal to act on. Spend the money on the ads instead.

No paid advertising and one lead source. Nothing to attribute yet. Revisit when a second channel goes live.

Free alternatives that cover part of the job:

  • Google Ads call reporting gives you call conversions from Google Ads specifically, free. It covers one channel and nothing else, but if Google Ads is your only paid channel it may be enough to start
  • Google Business Profile call history shows calls originating from your listing
  • A distinct number on offline assets — vehicle wraps, yard signs, direct mail — bought cheaply from any telephony provider, settles arguments about whether they work

What free doesn't give you: keyword-level attribution, recordings, spam filtering, or a single view across channels. Those are the things you're paying for, and they're worth it once you're spending enough that being wrong is expensive.

What your existing systems may already do

Check before adding a subscription. This is the most commonly duplicated purchase after review software.

System Often includes
GoHighLevel Call logging and recording against the contact record
ServiceTitan / Housecall Pro Call capture tied to jobs
Clio / MyCase Communication logging on matters

What none of them do well is source attribution across channels. That's the gap a dedicated tool fills. If all you need is "was this call answered and what was said," you may already own it.

Compliance, briefly

Recording rules vary by state and this is not legal advice.

Tennessee is a one-party consent state, but you will take calls from people in other states, and some of those are all-party consent. Every serious platform includes a configurable announcement — configure it, and confirm your specific obligations with your attorney rather than with a software vendor's help article.

What we'd avoid

Provisioning a number per campaign per ad group. You'll pay for forty numbers to answer a question eight would answer, and produce a report nobody reads.

Tools without conversion sync back to the ad platforms. Cheaper, and they leave the most valuable function on the table.

Replacing your real number with a tracking number across citations. This is the one that genuinely does damage local rankings, and it's where the "call tracking hurts SEO" myth comes from. Real number primary on your Google Business Profile and on every directory listing; tracking numbers on ad destinations and swapped dynamically on your own site.

Buying it and never listening to the recordings. The most common failure by a distance. The attribution report gets checked monthly; the recordings get checked never, and the unanswered-call problem stays invisible — which was the expensive thing all along.

Frequently asked questions

What's the best call tracking software?

We run CallRail and recommend it for service businesses with real ad spend. We haven't run its competitors in production, so we won't rank them for you — judge any platform on dynamic number insertion, conversion sync to ad platforms, spam filtering, CRM integration and recording.

Do I need call tracking if I only run Google Ads?

Not necessarily at first. Google Ads has free call reporting for its own traffic. A dedicated tool becomes worthwhile once you have a second channel or want recordings and keyword-level attribution.

Will tracking numbers hurt my local SEO?

No, configured correctly. Keep your real number primary on your Business Profile and across all citations, and use tracking numbers on ad destinations with dynamic swapping on your site.

How much should call tracking cost?

A low single-digit percentage of your media spend. Above roughly 10%, you're over-provisioned on numbers or under-spending on advertising.

Is call recording legal?

Rules vary by state and this isn't legal advice. Tennessee is one-party consent, but you'll receive calls from all-party consent states. Configure the announcement feature and confirm your obligations with your attorney.

What's the most common mistake?

Buying it and never listening to the recordings. The attribution data is why people purchase; the recordings are where the money actually is, because they reveal calls going unanswered.
